Overview
1-1 Chats are private chats between one talent and one recruiter, and they are designed to be pre-scheduled in the lead-up to the event. Depending on what your event organizer offers, 1-1 Chat requests can be initiated by both you and talents. Learn how to set up your availability, schedule, manage and conduct 1-1 Chats with the following steps.
Instructions
Upon logging into your account, click on the event you are participating in. Then, open the "1-1 Chats" tab.
Step 1 - Set up your availability
To be able to schedule 1-1 Chats, you have to first set up your availability. To do so, click on the red "Manage 1-1 Chats" banner in the "1-1 Chats" section.
Next, you will see an outline of your, as well as your colleagues' availability. Once you and your team have set up the availability and start managing requests, an overview of all those requests will be visible here.
Click on "Set Up Availability" for yourself or for a colleague to open up slots in your 1-1 Chat calendar.
After setting this up, the "Set Up Availability" button will not appear anymore, however you can still access your calendar again and make changes any time, by simply clicking on your profile in the overview.
Durations available are configured by your event organizer and you can only offer one duration per event day (i.e. for multi-day events, you can choose a different duration for each day). Select your available time slots by choosing individual slots or click "Select all". Green slots are available and can be booked by talents. If you leave a slot blank, it will not be available. Once a participant booked a time slot, it will appear in grey.
Depending on the event type, you have the option of setting your availabilities for the virtual or in-person day.
Step 2 - Add details (optional)
If you would like to provide talents with more information on who you are looking to speak with, fill in the sections to define the background, level of experience, languages and topics you would like to discuss, or add a customized question for them to answer (this does not filter talents out). Once you are happy with all the information and slots, click on "Confirm Availability". Only when this is done will talents be able to send you requests.
Step 3 - Send requests
If offered by your event organizer, you can send talents a 1-1 Chat request from the "Talent Profiles" tab in the top navigation bar.
You can request a 1-1 Chat with a talent when reviewing their profile. First, choose the event in the top right corner of the "Talent Profiles" tab. Then, open up the talent's profile by simply clicking on it.
On their profile, click "Request 1-1 Chat" on the right side. Then, choose which event you would like to request the chat for, as well as who the chat is going to be with (you can schedule a chat for yourself or choose to request on behalf of a colleague). Next, click on "Continue to Time Selection".
Before sending out your 1-1 Chat request, you have the chance to update your availability for the whole event once again. You can also include a short message with your request by toggling "Yes" in the "Attach a Message" section.
Finally, click "Send Invitation" to complete the process.
Talents will also be notified via email if you send them a 1-1 Chat request.
If you send the 1-1 chat invitation on behalf of your colleagues, you will be shown the availability of the colleagues and you can then send the request.
Step 4 - Review incoming requests
Back in the 1-1 Chats tab, you can manage the chat requests.
When approving incoming requests from participants, please ensure that you have slots available. Your available slots are displayed in the grey box at the top.
"Requests" tab: You receive a 1-1 Chat request and choose to approve or decline the request. If you decline a request, please include a short message where you could even suggest another colleague for a chat.
"In Scheduling" tab: If you approved a talent's request, they can pick a time slot in your schedule.
"Confirmed" tab: After a talent picks an available time slot, the 1-1 Chat is confirmed.
"Declined" tab: Any declined requests will appear here.
"Completed" tab: After a 1-1 Chat has taken place, you can review who you have spoken to in this tab.
Step 5 - How to reschedule
Should you need to reschedule or cancel a confirmed 1-1 Chat, go to the "Confirmed" tab and click on the three dots in the top right corner of the scheduled 1-1 Chat.
Step 6 - Accessing your 1-1 Chats
During the live event, you can access a confirmed 1-1 Chat through either the "1-1 Chat" tab or the "My Schedule" tab. Simply click on “Join” button to access the chat.
It is also possible to participate in a virtual 1-1 chat with several colleagues. You can do this in the "Manage 1-1 Chats" function by clicking on "All 1-1 Chats".
Then filter by status to the confirmed 1-1 chats and click on the chat you want to join.
Step 7 - Conducting a 1-1 Chat
At the bottom of your screen, you will be able to turn your camera and microphone off and on by clicking on the camera and microphone icons, or select a different camera or microphone by clicking on the settings icon. If you need technical support, click on the life ring symbol to open up the chat with the Talentspace technical support team.
You can also choose from a couple of virtual backgrounds, or choose to blur or semi-blur your background. To do so, simply click on the virtual backgrounds icon at the bottom of your screen. Please note that you will not be able to upload customized backgrounds.
In addition to interacting via video, you will be able to chat with the participant on the right side of the screen in the "Chat" tab.
